Before Submitting Removal Requests

  • Identify and fix the root cause (compromised server, spam operation, list quality issue)
  • Implement suppression for all addresses that generated complaints
  • Verify server is secure: check for open relays, malware, unauthorized access
  • Implement proper authentication: SPF, DKIM, DMARC must all be passing
  • Prepare a brief explanation of what caused the listing and what has been fixed

Removal Request Best Practices

  • Be specific: Include IP address, when you believe the listing occurred, and exactly what you have fixed
  • Be professional: Aggressive or impatient tone slows down manual review processes
  • One request per listing: Multiple removal requests for the same IP slow down processing
  • Follow up once: If no response in 5 business days, one polite follow-up is appropriate
  • Document: Keep records of when listings occurred, root cause, and removal confirmation

After Removal: Prevention

  • Daily blacklist monitoring configured (automated check of all sending IPs)
  • List hygiene automated: hard bounces suppressed within 24h
  • FBL enrollment active: complaints from ISPs processed and suppressed immediately
  • Engagement-based sending: suppressing subscribers inactive for 180+ days
  • Postmaster Tools and SNDS daily review instituted
Attempting to remove a listing before fixing the root cause will result in re-listing, often with a longer waiting period or permanent listing on some blacklists.
